In this vital role, you will serve as the first point of contact for visitors, clients, and staff, ensuring a welcoming and professional environment. Your energetic approach and exceptional organizational skills will help streamline office operations, manage multi-line phone systems, and support administrative functions with efficiency and enthusiasm. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a positive workplace atmosphere. Responsibilities Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with precision and promptness Maintain the reception area's organization, including filing, data entry, and updating office records Support calendar management and scheduling for staff or executive team members as needed Assist with clerical tasks such as proofreading documents, preparing reports, and managing office supplies Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and QuickBooks for various administrative duties Experience Previous office or administrative experience in a fast-paced environment is preferred Proven ability to handle front desk responsibilities with professionalism and confidence Strong organizational skills with attention to detail in filing, data entry, and proofreading tasks Excellent customer service skills with the ability to support diverse client needs effectively Bilingual abilities are a plus to assist a broader range of visitors and staff Familiarity with office management software such as Microsoft Office, Google Workspace, QuickBooks, or similar platforms is highly desirable Demonstrated time management skills to prioritize tasks efficiently in a busy setting Join us in creating a vibrant office environment where your proactive approach makes a real difference!
