This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be computer literate, self sufficient, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for callers, manage office tasks efficiently, and support various departments with clerical duties. Responsibilities Greet clients/staff warmly and professionally, directing them to appropriate personnel or departments Manage multi-tasks, answer inquiries promptly, and transfer calls accurately Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized filing systems and ensure all documents are properly stored and easily accessible Perform data entry tasks with high accuracy using Microsoft Office, Google Workspace, and other office software Support calendar management and scheduling for team members or executives Provide excellent customer service by addressing inquiries efficiently and courteously Manage office supplies inventory, place orders as necessary, and maintain a tidy workspace Proofread documents for accuracy and clarity before distribution or submission Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively Experience with multi-line phone systems and phone etiquette standards Bilingual abilities are highly valued to assist diverse clients and staff Previous office management or administrative experience preferred Knowledge of clerical procedures such as filing, data entry, and proofreading Customer service skills with a friendly, professional demeanor Ability to handle confidential information discreetly Strong time management skills to meet deadlines efficiently Personal assistant experience or medical/dental receptionist background is a plus Familiarity with software like Wellsky, Indeed, and Paylocity is advantageous Join our team to be the welcoming face of our organization while supporting our daily operations!
