Job Overview We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will be a proactive communicator, highly organized, and comfortable managing multiple tasks in a fast-paced environment. Responsibilities Greet visitors, clients, and vendors warmly, providing exceptional customer service and maintaining a professional front desk presence Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and deliveries Maintain organized filing systems, data entry records, and digital documents using Microsoft Office and Google Workspace tools Assist with appointment scheduling, calendar management, and reminders for staff or clients as needed Support office management tasks such as supply inventory, photocopying, proofreading documents, and maintaining office cleanliness Perform clerical duties including typing reports, data entry, proofreading documents for accuracy, and managing basic bookkeeping using QuickBooks or similar software Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent computer literacy with the ability to learn new software quickly Prior experience with multi-line phone systems and phone etiquette is essential Bilingual abilities are highly desirable to serve diverse client needs effectively Strong customer service skills with a friendly demeanor and professional communication style Ability to manage time efficiently in a busy environment while prioritizing tasks effectively Experience in medical or dental receptionist roles or personal assistant duties is a plus Knowledge of office management procedures including filing systems, data entry, and calendar management Clerical experience combined with proficiency in bookkeeping (QuickBooks) is advantageous Join us in creating a welcoming environment where your organizational talents and customer service skills can shine!
