Job Description

Job Overview This is a full time position for six to nine months to cover for an employee on maternity leave. However, for candidates who excel at this position, there is opportunity to move into a long term arrangement. We are seeking a dynamic and detail-oriented Ophthalmology Office Receptionist & Scheduler to join our dedicated healthcare team. In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while efficiently managing appointment scheduling, patient intake, and medical records. Your energetic approach will help create a welcoming environment and ensure smooth clinic operations. This position offers an exciting opportunity to contribute to patient care by supporting clinical staff with administrative tasks and maintaining accurate health information management. Responsibilities Greet patients warmly upon arrival, verify insurance coverage, and update patient information in Electronic Health Record (EHR) systems. This clinic uses Modernizing Medicine, but experience with other systems may be sufficient. Schedule appointments accurately using medical scheduling software (Mod Med). It also requires understanding of insurance requirements. We will provide training in these areas. Answer multi-line phone systems professionally, providing clear information and directing calls appropriately while maintaining excellent phone etiquette. Verify insurance benefits, perform insurance verification, and assist with billing processes including medical collection procedures. Manage patient records with meticulous attention to confidentiality and HIPAA compliance; review documentation for accuracy and completeness. Assist with intake procedures, including collecting medical history, updating care plans, and explaining pre-appointment instructions to patients. Maintain office organization through filing, data entry, and managing electronic medical records efficiently using various EMR systems. Requirements Experience in a medical office setting, preferably within ophthalmology or dental clinics. Knowledge of medical terminology, CPT coding, ICD-9/10 coding, and familiarity with Medicare guidelines. Excellent computer skills including Google apps, Microsoft Office Suite; ability to utilize basic AI apps. Exceptional customer service skills coupled with professional phone etiquette and clear communication abilities. Ability to handle sensitive health information in compliance with HIPAA regulations and maintain confidentiality at all times. It helps to have proficiency in EMR systems such as Modernizing Medicine, Epic, Meditech, Athenahealth, or eClinicalWorks. Bilingual skills are highly desirable to serve diverse patient populations effectively. Many patients speak Spanish, Vietnamese, and Hindi. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
