Position Summary The Operations Member Representative serves as the primary liaison between participants, families, caregivers, and personal attendants. This role ensures seamless service coordination, clear communication, and effective scheduling while maintaining compliance with HIPAA and organizational policies. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, service-driven environment. Position Scope This role supports daily operational functions by coordinating services, managing schedules, and ensuring consistent communication across all stakeholders. The position plays a critical role in maintaining service continuity, resolving scheduling challenges, and supporting participant care delivery. Key Responsibilities Serve as the primary point of contact for participants, families, caregivers, and DSPs, ensuring clear communication and coordination of services across all parties. Manage scheduling and staffing to maintain uninterrupted care, including handling call-offs, adjusting shifts, and verifying attendance. Handle high-volume inbound and outbound communication via phone, email, and SMS while accurately documenting updates in internal systems. Maintain compliance with organizational standards, HIPAA, and company policies, support operational efficiency and continuous improvement initiatives, and assist with administrative tasks, team collaboration, training, and coverage during weekends, holidays, and peak periods as needed. Regulatory Frameworks Must comply with HIPAA regulations regarding participant privacy and data protection. Adhere to all company policies, procedures, and ethical guidelines. Follow applicable federal, state, and local labor and healthcare regulations. Maintain compliance with internal documentation and operational standards. Confidentiality This role requires strict adherence to confidentiality standards. All participant, family, and organizational information must be handled in compliance with HIPAA and OneWell Health Care's data protection policies. Unauthorized disclosure of sensitive information is strictly prohibited. Documentation Requirements Accurately document all communications, scheduling changes, and service updates. Maintain detailed records in company systems in real time or as soon as possible. Ensure documentation is complete, clear, and compliant with organizational standards. Follow all record-keeping and audit requirements. Education High school diploma or equivalent required. Additional education in healthcare, social services, or related fields preferred. Experience Prior experience in customer service, case management, scheduling, or social services preferred. Experience handling high-volume communication in a fast-paced environment. Demonstrated ability to manage multiple priorities with accuracy and professionalism. Technical Skills Proficiency in Microsoft Office Suite. Experience with scheduling systems and digital communication tools. Ability to navigate multiple systems and manage data accurately. Strong organizational and multitasking capabilities. Languages Bilingual fluency in English and Spanish is required (CEFR Level C1 or higher). Strong written and verbal communication skills in both languages.
