Job Summary We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Answer multi-line phone systems promptly and professionally, providing accurate information or routing calls efficiently. Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office. Handle data entry, filing, and document proofreading to maintain accurate records and support office workflows. Assist with office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of the reception area. Support administrative functions including bookkeeping, invoicing via QuickBooks, and basic clerical duties like typing and document preparation. Provide customer support by addressing inquiries, offering information about services, and ensuring client satisfaction through excellent phone etiquette. Qualifications Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to multitask efficiently and prioritize responsibilities effectively. Bilingual abilities are highly desirable to serve diverse client needs better. Previous experience with front desk operations in medical or dental settings is a plus. Knowledge of office equipment such as multi-line phones, printers, and fax machines.
