This role is essential in providing exceptional customer service, managing office operations, and ensuring smooth daily functions. The ideal candidate will possess strong administrative skills, proficiency with office software, and excellent communication abilities. Bilingual skills are a plus, along with experience in office management or medical/dental reception. Duties Greet visitors and clients promptly and professionally, creating a welcoming environment Manage multi-line phone systems, screen calls, and direct inquiries appropriately Schedule appointments and manage calendars using Google Workspace or Microsoft Office tools Perform data entry, filing, and maintain accurate records using QuickBooks or other accounting software Handle incoming and outgoing correspondence, including emails and mail distribution Assist with billing, bookkeeping, and basic office management tasks Maintain office supplies inventory and coordinate with vendors as needed Ensure phone etiquette is upheld at all times to promote excellent customer support Proofread documents for accuracy and clarity before distribution Support administrative tasks such as typing, proofreading, and organizing documents efficiently Experience Prior office experience or clerical experience preferred; medical or dental receptionist experience is a plus Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or bookkeeping software is advantageous Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent communication skills, both verbal and written; bilingual abilities are highly desirable Experience managing multi-line phone systems and providing exceptional customer service Demonstrated ability to handle administrative responsibilities such as calendar management, data entry, filing, and proofreading Knowledge of office management procedures and administrative support functions This position offers an opportunity to be an integral part of our team by providing outstanding front desk support while developing your administrative expertise in a professional setting.
