This vital role involves managing front desk operations with enthusiasm, ensuring smooth communication, and providing exceptional customer service. The ideal candidate will be highly organized, tech-savvy, and capable of handling multiple responsibilities with professionalism and a positive attitude. Duties Greet visitors, clients, and vendors warmly, creating a professional and inviting atmosphere Answer multi-line phone systems promptly and courteously, directing calls efficiently Manage appointment scheduling and calendar management using digital tools like Google Workspace and Microsoft Office Handle data entry, filing, and document proofreading with accuracy and attention to detail Maintain office supplies inventory and coordinate office management tasks to ensure operational efficiency Support administrative functions such as bookkeeping using QuickBooks and assisting with basic clerical tasks Provide excellent customer support by addressing inquiries, offering information, and supporting client needs Requirements Proven office management or administrative experience in a busy environment Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and general office software Excellent organizational skills with the ability to multitask effectively and prioritize tasks Exceptional phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs Previous experience as a medical or dental receptionist is a plus but not required Knowledge of clerical tasks such as filing, proofreading, calendar management, and bookkeeping is preferred Demonstrated customer service skills with a friendly and professional demeanor Ability to handle confidential information discreetly while maintaining accuracy in data entry and record keeping Join our team to enjoy a vibrant work environment where your organizational talents shine!
