As the Director of First Impressions , you'll be the friendly face and heartbeat of our office, setting the tone for every interaction and supporting the behind-the-scenes systems that keep our agents thriving.
What You'll Do:
As the DOFI, you are the first person guests, clients, and agents see and hear when they walk into or contact the office, and we want them to feel seen, supported, and welcomed. This role combines customer service, office coordination, and light marketing/tech tasks to ensure a smooth, friendly, and efficient environment.
Key Responsibilities:
Greet agents, clients, and visitors warmly, in person and on the phone Answer phone calls, respond to emails, and manage Command notifications Open and prepare the office daily (lights, coffee, conference rooms, cleanliness) Keep the office tidy: wipe tables, take out trash, wash dishes, water plants, etc. Manage incoming/outgoing mail and distribute accordingly Maintain and stock office and bathroom supplies (bi-weekly checklist) Create monthly training and event calendars (Google & Intranet) Rotate flyers and promotional materials throughout the office weekly Assist with social media by posting new listings, closings, and events Support Team Leader and MCA with onboarding new agents (email setup, folders, welcome materials, etc.) Create flyers for training events, listings, closings, and team meetings Release agent checks and scan/upload invoices and documents Maintain and update office rosters, agent contact info, and mailing lists Help with event set-up/clean-up, training room reservations, and Zoom setups Clean the office fridge weekly (Friday)
Qualifications:
Friendly, professional, and positive attitude Strong organizational and time management skills Comfortable with Google Workspace (Docs, Sheets, Calendar, Drive) Willing to learn basic marketing tools like Canva or Command (KW training platform) Proactive, flexible, and solution-oriented Able to work independently and communicate effectively Previous experience in an administrative or receptionist role is a plus Familiarity with real estate is helpful, but not required
Schedule & Pay:
Part-Time:
