Overview We are seeking a dynamic and friendly Front Office Receptionist to be the welcoming face of our organization. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with professionalism, directing calls efficiently and courteously. Handle incoming correspondence, including emails, mail, and packages, with accuracy and timeliness. Maintain organized filing systems, data entry records, and ensure proper documentation using Microsoft Office and Google Workspace tools. Support appointment scheduling, calendar management, and coordinate meetings or events as needed. Perform clerical duties such as proofreading documents, managing office supplies, and assisting with bookkeeping tasks using QuickBooks. Provide exceptional customer support by addressing inquiries promptly and maintaining excellent phone etiquette. Assist with office management tasks including organization of files, inventory control, and supporting other administrative staff. Requirements Proven experience in office administration or reception roles, preferably in medical or dental settings. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Demonstrated experience handling multi-line phone systems and providing outstanding customer service. Bilingual abilities are highly desirable to serve diverse client needs effectively. Familiarity with clerical tasks such as data entry, filing, proofreading, and calendar management. Knowledge of office management practices including bookkeeping (QuickBooks preferred), time management, and general administrative support. Exceptional phone etiquette combined with professional appearance and demeanor. Ability to work independently as well as part of a team while maintaining high attention to detail.
