Job Description

Bold, Polisner, Maddow, Nelson & Judson, A Professional Corporation ("BPMNJ") is seeking a Full-Time Receptionist to join our Walnut Creek office. The successful candidate will provide receptionist duties and general office support for our attorneys and paralegals and should enjoy being a valued member of a team. The receptionist is stationed at the front of the office and serves as the first point of contact for clients, opposing counsel, process servers, and other visitors. Key Responsibilities Greet clients, opposing counsel, process servers, and other visitors professionally; sign visitors in, offer refreshments, and notify attorneys of arrivals Answer and screen incoming calls, route them to the appropriate attorney or paralegal, take detailed messages, schedule consultations, and manage voicemail Receive, log, and route incoming mail, courier deliveries, and service of process; prepare outgoing mail, FedEx, and certified mailings Coordinate conference room use and reservations, and help manage the office calendar for holidays, closures, and attorney out-of-office time Assist with client intake and file maintenance, including engagement letter follow-up, creating and updating Clio matters, preparing and filing physical and electronic files, scanning and copying documents, and assembling binders for signing meetings Maintain cleanliness of the reception area, conference rooms, and kitchen; restock supplies and manage ordering Provide general case support, including downloading filed pleadings and routing them to the assigned attorney Perform other administrative and support duties as assigned Core Qualities Exceptional interpersonal skills with the ability to communicate with a diverse group of clients, attorneys, and staff. This employee maintains a desk at the front of the office and serves as the first point of contact for clients visiting the office Strong organizational skills to efficiently and effectively prioritize and complete various tasks on time with attention to detail and accuracy Excellent attention to detail, including grammar and proofreading skills, to prepare correspondence such as emails, letters, and other documents to clients and other professionals Professional appearance and demeanor Willingness to learn new tasks, the law practice, and follow directions Ability to multitask in a fast-paced professional environment Education & Experience Working knowledge of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) Prior reception or front-office experience preferred; legal office experience a plus Familiarity with Clio or similar legal practice management software a plus Valid Driver's License and functioning, safe vehicle, with the ability to commute to and from Walnut Creek Schedule & Work Setting Full-time, Monday through Friday In-office, Walnut Creek How to
