In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude, organizational skills, and ability to handle multiple tasks efficiently will help create a professional and friendly environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team. Duties Greet visitors and patients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Schedule appointments, coordinate calendars, and assist with calendar management for staff and executives Handle data entry tasks with precision using Microsoft Office, Google Workspace, and other office software Maintain organized filing systems, both physical and digital, including document proofreading and record keeping Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar tools Provide customer support by answering inquiries, providing information about services, and resolving issues efficiently Handling EOB Explanation of Benefits and data entry into Practice Studio Contacting Medicare/United health care and dealing with unpaid claims. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are highly valued to assist a diverse clientele and team members Previous office or clerical experience demonstrating familiarity with data entry, filing, and administrative procedures Exceptional customer service skills paired with professional phone etiquette and interpersonal communication abilities Knowledge of office management practices including calendar management, time management techniques, and office supply coordination Experience with medical receptionist duties is a plus but not required; relevant personal assistant experience is beneficial Join us in creating a welcoming atmosphere where professionalism meets friendliness!
