In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and ensure smooth office functioning. Your positive attitude, organizational skills, and ability to handle multiple tasks with efficiency will contribute to creating a professional and friendly environment for clients, staff, and guests alike. This paid position offers an exciting opportunity to develop your administrative expertise while supporting daily office activities. Responsibilities Greet visitors warmly, assist with check-in procedures, and direct them appropriately Answer multi-line phone systems promptly with professional phone etiquette Manage incoming calls, transfer messages accurately, and handle inquiries efficiently Maintain organized filing systems, perform data entry, and ensure records are up-to-date Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools Support office management tasks such as ordering supplies, proofreading documents, and maintaining cleanliness of the reception area Provide excellent customer service by addressing questions or concerns in a courteous manner Assist with clerical duties including typing correspondence, proofreading materials, and supporting administrative projects Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Experience with office management tasks such as filing, data entry, and calendar management Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities Bilingual capabilities are a plus to serve diverse client needs effectively Familiarity with multi-line phone systems and office equipment is preferred Previous clerical or administrative experience in a professional setting is highly desirable Knowledge of QuickBooks or bookkeeping experience is advantageous for handling basic financial tasks Ability to prioritize tasks efficiently using strong time management skills Personal assistant or medical/dental receptionist experience can be beneficial for understanding specialized workflows Join us to be part of a dynamic team where your organizational talents and proactive approach will make a meaningful difference every day!
