Full-time Job Summary:
The Receptionist is responsible for the front desk at the PACE Your LIFE Day Health Center. This includes greeting and assisting visitors, participants and others, answering phones, taking messages in a professional manner and using the EMR system for the purpose of day health center scheduling and checking participant in and out of the day health center and outside appointments. This position reports to the Center Director.
Essential Duties and Responsibilities:
1. Answers incoming calls and re-directs as needed. 2. Provides assistance, guidance and direction to participants, families, visitors, guests, and vendors. 3. Receives and distributes mail and other items delivered to the day health center. 4. Conducts self in a professional manner. 5. Manages and processes all orders for the day health center. 6. Provides light security (monitors entrance/exit, requests visitors to sign in, etc.). 7. Maintains schedules of day health center attendance. 8. Refers problems to appropriate resources. 9. Assists participants in arrival as needed and assists team members as they prepare participants to leave at the end of the day. 10. Participates in fire and disaster drills. In the event of an emergency, carries out assigned duties to assure team members, participant and visitor safety. 11. Handles a variety of assignments requiring considerable familiarity with the day health center's operating procedures. 12. Attends in-service geriatric sensitivity and general PACE program education programs as scheduled. Applies information to job tasks. 13. Communicates with transportation about cancellations and with participants as needed on transportation schedule changes. 14. Monitors the emergency call bell system at the front of the building and notifies the appropriate team member(s) of any issues. 15. Maintains the stock and cleanliness of the reception area to acceptable levels for presentation when vendors and the public come into the day health center.
General Responsibilities:
1. Must work the days and hours necessary to perform all assigned responsibilities and tasks. Must be available (especially during regular business hours or shifts) to communicate with supervisors, customers, vendors, and any other person or organization with whom interaction is required to accomplish work and employer goals. 2. Must be punctual and timely in meeting all requirements of performance, including but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable. 3. Must maintain courteous, professional and effective working relationships with employees at all levels of the organization. 4. Must develop and maintain courteous and effective working relationships with clients, vendors and/or any other representatives of external organizations. 5. Must be sufficiently adaptable to accept and perform, in a timely and effective manner, work assignments that are outside the normal (day-to-day) routine. 6. Must adapt, with minimal or no advance notice, to changes in how business is conducted and work is accomplished. 7. Performs related duties as required.
