You will play a key role in maintaining smooth office operations, supporting various departments, and delivering exceptional customer service. Responsibilities Include:
Answering phone calls, texts, and emails professionally Preparing invoices, proposals, agreements, and office documents Reviewing paperwork for accuracy and attention to detail Communicating with clients, vendors, management, and executive professionals Scheduling appointments, estimates, meetings, and service-related tasks Following up with clients and vendors as needed Assisting with customer service and resolving basic office inquiries Organizing files, records, and project-related documents Supporting management with administrative tasks Coordinating communication between office staff, clients, and field crews Being available for occasional after-hours communication by phone or text when needed
Ideal Candidate:
Has strong attention to detail Is dependable, organized, and professional Communicates clearly by phone, email, and text Can handle multiple tasks and deadlines Is comfortable preparing documents, invoices, and proposals Maintains a professional tone with clients, vendors, and executives Can work independently and follow through on assigned tasks Understands the importance of accuracy, confidentiality, and responsiveness
Preferred Experience:
Administrative assistant, office administrator, receptionist, or customer service experience Experience preparing invoices, proposals, contracts, or agreements Experience in landscaping, construction, property management, or service-based business is a plus Comfortable using email, basic computer software, and office systems
