Job Description

Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and clients, and ensure smooth administrative flow throughout the office. Your energetic approach and excellent organizational skills will help create a positive environment and support efficient office management. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a professional and welcoming atmosphere. Duties Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle appointment scheduling, calendar management, and coordinate meetings with precision Perform data entry, maintain filing systems, and update records accurately using Microsoft Office, Google Workspace, and other office software Assist with clerical tasks such as proofreading documents, managing correspondence, and supporting office operations Support bookkeeping activities using QuickBooks or similar accounting tools when necessary Provide exceptional customer service by addressing inquiries, supporting client needs, and maintaining positive communication Requirements Proven experience in office management or administrative roles, preferably as a receptionist or personal assistant Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are highly desirable to serve diverse client needs better Experience with multi-line phone systems and phone etiquette is essential Demonstrated clerical experience including data entry, filing, proofreading, and calendar management Knowledge of medical or dental receptionist duties is a plus but not required; relevant experience will be valued highly Strong time management skills with the ability to handle multiple responsibilities efficiently Previous customer service experience emphasizing professionalism and support-oriented communication Join us in creating a vibrant workplace where your organizational talents shine!
