Job Summary Nova Gymnastics is seeking a highly organized, professional, and customer-focused Office Receptionist / Administrative Assistant to join our team. This position serves as the first point of contact for our families and plays a vital role in ensuring the smooth operation of our front office. We are looking for an individual who is friendly, dependable, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. As a member of the Nova Gymnastics team, you will work closely with recreational program families, summer camp participants, competitive team families, coaches, and management to provide exceptional customer service and administrative support. Key ResponsibilitiesFront Desk & Customer Service Greet and assist parents, athletes, and visitors in a professional and welcoming manner Answer incoming phone calls and respond to emails promptly and professionally Provide information regarding recreational gymnastics classes, preschool programs, summer camps, birthday parties, clinics, and competitive team programs Handle customer questions, concerns, and account inquiries Assist families with registration, enrollment, and program changes Administrative Support Manage student accounts and maintain accurate records Process new enrollments, transfers, and withdrawals Schedule and coordinate make-up classes Monitor attendance and class availability Maintain organized digital and physical filing systems Assist management with administrative projects and daily office operations Prepare reports, spreadsheets, and documents as needed Summer Camp & Program Administration Assist with summer camp registrations and participant management Communicate camp schedules, policies, and updates to families Support enrollment and administrative needs for special events and seasonal programs Competitive Team Support Assist team families with communication regarding competitions, schedules, and events Help organize team-related paperwork and documentation Coordinate administrative tasks related to competitive gymnastics programs Qualifications Previous receptionist, administrative assistant, office coordinator, or customer service experience preferred Excellent verbal and written communication skills Strong organizational and multitasking abilities Professional appearance and positive attitude Ability to work independently and as part of a team Strong attention to detail and problem-solving skills Comfortable working in a fast-paced environment while managing multiple priorities Technical Skills Experience with the following is preferred: Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Canva for creating flyers, graphics, and promotional materials Google Workspace (Gmail, Google Docs, Google Sheets, Google Drive) General office equipment including phones, printers, and scanners Jackrabbit Class Software Nova Gymnastics utilizes Jackrabbit Class Management Software for registrations, attendance tracking, account management, and communication. Previous experience with Jackrabbit is a plus but not required. Comprehensive training will be provided.
