Job Description

Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Your positive attitude and organizational skills will ensure smooth daily operations, creating a professional and friendly environment for visitors, clients, and team members alike. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming correspondence, emails, and inquiries with accuracy and professionalism Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools Perform data entry, proofreading, and document management tasks with attention to detail Schedule appointments, manage calendars, and coordinate meetings for staff or medical/dental offices as needed Support office management activities such as supply inventory, basic bookkeeping using QuickBooks, and clerical tasks Assist with customer support by addressing inquiries promptly and courteously Conduct light administrative duties including typing reports, filing documents, and supporting personal assistant tasks when required Experience Previous office or administrative experience is highly preferred, especially in roles involving front desk or receptionist duties Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills Experience managing multi-line phone systems and demonstrating excellent phone etiquette Bilingual abilities are a plus to serve diverse client needs effectively Familiarity with QuickBooks or bookkeeping software is advantageous for supporting basic financial tasks Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Clerical experience including filing, proofreading, calendar management, and customer support roles is desirable Join us to be the friendly face that keeps our office running smoothly!
