Job Description

Job Overview:
We are seeking a highly organized and professional individual to join our team. This role involves interacting with customers and team members, managing daily financial tasks, and ensuring smooth day-to-day operations. The ideal candidate will have strong communication skills, attention to detail, and a proactive approach to managing administrative and financial responsibilities.
Key Responsibilities:
Customer Service and Communication:
Greet guests in a friendly and professional manner, ensuring a positive experience. Provide excellent customer service by communicating effectively with clients, pilots, and team members. Handle phone calls, texts, emails, and in-person requests with professionalism and courtesy. Maintain confidentiality when managing customer and company information, including payments and sensitive details.
Financial and Administrative Tasks:
Manage daily bookkeeping using QuickBooks, ensuring accurate records. Review and process purchase orders, invoices, and quotes for customers, following up as needed. Pay monthly bills and handle any outstanding payments or reimbursements. Monitor and maintain financial reports, preparing weekly financial snapshots for company meetings. Update and manage fuel sheets as necessary. Order company supplies and products from vendors when required.
Scheduling and Coordination:
Maintain an accurate daily schedule of all aircraft arrivals and departures. Track and manage pilot payments and flight schedules, ensuring everything runs smoothly.
Inventory and Amenities:
Monitor and restock company amenities, ensuring supplies are always available. Advise when certain items are running low and require replenishment.
Meetings and Miscellaneous Duties:
Attend company meetings to provide updates and contribute to discussions. Perform other related duties as assigned by management.
Qualifications:
Strong communication skills, both verbal and written. Proficiency in QuickBooks and basic accounting practices. High level of organizational skills with attention to detail. Ability to manage multiple tasks simultaneously and meet deadlines. Professional demeanor with the ability to handle confidential information. Experience in customer service or administrative roles is a plus.
