Your primary role will be to manage front desk operations, greet guests, answer phone calls, and provide administrative support to ensure smooth daily operations. Additionally, you will assist in maintaining office security, coordinating mail and deliveries, and ensuring a professional and welcoming environment. 1.
Front Desk Operations:
Welcome and greet visitors, ensuring a positive and professional experience. Answer, screen, and direct incoming phone calls. Manage incoming and outgoing mail, packages, and deliveries. Maintain a clean, organized, and well-stocked reception area. 2.
Administrative Support:
Assist with scheduling appointments, meetings, and conference room bookings. Maintain records, logs, and databases related to front desk operations. Order office supplies and maintain inventory as needed. Assist in organizing office events or meetings. 3.
Communication and Correspondence:
Respond promptly to inquiries from tenants, visitors, and vendors. Manage email and written correspondence efficiently. Distribute internal memos and announcements as directed. 4.
Security and Access Control:
Monitor visitor access and maintain security protocols (logbook, issuing visitor badges). Ensure that only authorized personnel and guests enter restricted areas. Report any security concerns or maintenance issues to management. 5.
Office Maintenance Coordination:
Coordinate with maintenance and cleaning staff to keep the office building well-maintained. Report office equipment or facility issues to the appropriate department.
