This energetic role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks. The ideal candidate will be highly organized, tech-savvy, and bilingual (if applicable), ready to handle multiple responsibilities with enthusiasm. You will play a vital role in creating a positive first impression while ensuring smooth daily operations across various departments. Duties Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive experience from the moment they arrive Manage multi-line phone systems, screen calls, and direct inquiries efficiently using excellent phone etiquette Handle scheduling and calendar management for appointments and meetings using tools like Google Workspace or Microsoft Office Perform data entry, filing, and maintain accurate records to support office organization and administrative needs Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Support customer service efforts by responding promptly to inquiries via phone or email and providing support as needed Proofread documents, prepare correspondence, and ensure all communication is clear, professional, and error-free Qualifications Proven office experience with strong clerical skills and familiarity with office management procedures Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with multi-line phone systems and phone etiquette to handle high-volume calls effectively Bilingual abilities are highly desirable to serve diverse client needs Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Previous experience as a medical or dental receptionist or personal assistant is a plus Knowledge of bookkeeping practices using QuickBooks or similar accounting software is advantageous Demonstrated customer service skills with a friendly, professional demeanor Ability to type quickly and accurately while maintaining attention to detail Familiarity with data entry, proofreading, filing systems, and calendar management Join us in creating a welcoming environment where professionalism meets energetic service!
