In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and handle mail and administrative tasks with efficiency and professionalism. Your positive attitude and organizational skills will help create a warm, organized, and productive environment for staff, clients, and guests alike. This paid position offers an exciting opportunity to develop your office management skills while supporting daily operations in a dynamic setting. Duties Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the facility Operate multi-line phone systems to answer inquiries, transfer calls, and provide excellent customer support Manage incoming and outgoing mail, packages, and courier services efficiently Maintain a tidy and professional reception area, ensuring all materials are organized and accessible Assist the mail department in folding and mailing out policies on a daily basis. Maintain inventory of refreshments, snacks and office supplies. Qualifications Proven experience in front desk reception or office administration roles with strong organizational skills Excellent phone etiquette and customer service skills; bilingual ability is a plus for serving diverse clients Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Familiarity with multi-line phone systems, filing systems, proofreading documents, and basic bookkeeping software such as QuickBooks Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Previous clerical or administrative experience preferred; personal assistant or office management experience is advantageous Ability to handle confidential information discreetly while maintaining a professional demeanor This role is perfect for motivated individuals eager to contribute to a well-organized workplace while honing their administrative expertise.
