Clinic Coordinator Are you seeking a rewarding career in one of the most resilient and thriving industries? We are a highly successful Medi-Spa with over 13 years of experience, and we're looking for a dynamic team player to join our growing team as a Clinic Coordinator.
Responsibilities:
Greet and welcome guests, ensuring a positive first and lasting impression. Oversee the skin care boutique, maintaining its presentation, driving sales, and maximizing profitability. Professionally schedule treatments and services, following company guidelines. Develop a thorough understanding of all treatments and services offered. Gain expert knowledge of skincare products, effectively communicate their benefits, and confidently explain and schedule services for clients. Present the company, its services, and membership options to potential and existing clients, both in person and over the phone. Effectively manage phone communications, including following up with prospects and securing consultations and appointments with our aestheticians.
Job Activities and Responsibilities:
Maintains the reception, client waiting room and common areas clean and tidy Greets and checks guests in and out Enters guest data accurately and quickly Accurately enters point of sale data and quickly checks guests out Assists with stocking, inventory management, and maintaining the spa boutique organized Displays masterful knowledge of spa services Displays masterful knowledge of spa skincare products Promotes Medi-Spa services and gift cards/certificates, advises on gift selection, maintains accurate gift sales data Manages effective workflow for technical staff Accurately schedules, confirms, and guarantees clients' reservations for Medi-Spa locations Attends and participates all general, educational training, and team meetings Maintains a polished and professional image, always Assists other support team members Participates in all aspects of marketing/special events planning and execution Mentors/trains new team members to help them grow Masters and improves the ability to communicate with guests Maximizes the Medi-Spa's sales performance by ensuring that guests are receiving the best treatments and the best skincare products Provides excellent telecommunication service Sells gift cards/certificates, advises on gift selection, maintains accurate gift sales data Helps with creating and executing synergies and win-win partnerships with non competing businesses Promotes the spa and the Cosmetic Dermatology services to clients both in person and over the phone Tracks marketing sources and follows up on them
Desired Qualifications:
3 Years Experience in working or Managing a SPA or MediSPA (a MUST) 2 Years front line guest service (SPA, hospitality and retail highly desired) Bilingual English - Spanish (a MUST) High school diploma or higher education Experience with booking & scheduling software (we use "SPA Booker software" if you worked with this, it's a BIG plus) Knowledge and experience with skincare lines including Skinceuticals Computer skills (Word & Excel) Good in-person & phone selling abilities Flexible hospitality schedule (we are also open Saturdays) Professional and clean image with gracious, warm, and genuine personality Skin care knowledge and understanding of the Medi-Spa menu Good organizational skills and follow through Able to multi-task & experience with managing multi-phone lines Sales experience & ability to sell services and company membership Behavioral Characteristics A strong guest service focus with the ability to work well under pressure and collaborate effectively with colleagues, including those with strong, assertive personalities.
