Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks. The ideal candidate will be proactive, organized, and possess excellent communication skills to ensure a smooth and professional experience for visitors, clients, and team members alike. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy. Handle all incoming correspondence, including emails, mail, and deliveries, maintaining organized records. Maintain appointment schedules by managing calendars and coordinating meetings using tools such as Google Workspace or Microsoft Office. Perform data entry, filing, and document proofreading to support office operations and ensure accuracy. Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining cleanliness of the reception area. Provide customer support by answering inquiries, assisting with basic information, and escalating issues when necessary. Skills . Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional phone etiquette skills with experience handling multi-line phone systems confidently. Bilingual abilities are highly desirable to serve diverse client needs more effectively. Demonstrated ability to manage time efficiently while prioritizing tasks such as data entry, filing, and calendar management.
