ROLE DESCRIPTION
As a Guest Services
  • Receptionist, you will serve as the first point of contact for visitors, providing a warm and welcoming experience while delivering exceptional customer service.
Your responsibilities include greeting and checking in guests, answering inquiries about exhibits and museum amenities, managing phone calls and reservations, and processing admissions and gift shop purchases. You will also help maintain the front desk area, distribute informational materials, and ensure that guests have a positive and memorable visit. This role requires excellent communication skills, professionalism, and a friendly, positive demeanor.
DUTIES AND RESPONSIBILITIES

Saturday Customer Service:
Assist with greeting and check-in guests while maintaining a welcoming and informative environment for all museum visitors. Answer and direct incoming calls and messages. Respond to answering service messages and voice mails. Provide information and make reservations for admission to the public using Elevent POS system. Answer incoming email inquiries and assign messages in Salesforce. Assist with sales transactions, returns, and exchanges, online gift shop sales, fulfillment and shipping as needed. Other admissions desk responsibilities include but are not limited to giving directions, accepting and documenting lost and found items/information, completing paperwork for incident reports. Provide information and assist with reservations for admission to the public. Respond to incoming requests via Salesforce Email to Case in a timely manner, route inquiries to internal staff accordingly, and track important follow-ups through to completion. Handle escalated issues and complex guest situations to Guest Services Supervisor to assist with resolving customer complaints and concerns promptly and professionally. Process merchandise for Museum store and restock (includes tagging, steaming, dusting, hanging).
Administrative Duties:
Provide administrative support to the front office team as needed. Responsible for recording and filing car collection invoices and documents. Assist with the setup of monthly staff birthday/anniversary celebrations and special events. Maintain an adequate supply of rack cards and literature. Assist with updating the Shop Calendar as new internal and external events are scheduled. Serve as back up support to collect, sort, and distribute all incoming mail and packages as needed. Serve as back up support on processing annual renewal of all company and museum subscriptions (magazines) and memberships. Assist with special projects and other tasks as assigned.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
High school diploma or GED required; college strongly preferred. Microsoft Office 365 & Outlook (Excel, Word, PowerPoint) CRM & Point of Sale Software (such as Elevent and Salesforce) Ability to sit and stand for extended periods of time. Be able to lift up to 15 pounds (merchandise and magazines). If hired, individual must agree to and successfully complete a confidentiality covenant, resume, background check, and drug test before the first day of work.
PREFERRED SKILLS
Excellent communication and interpersonal skills. Proven ability to handle stressful situations and resolve conflicts effectively. Proficiency in using POS systems and Microsoft Office Suite. Customer-focused with a friendly and approachable demeanor. Detail-oriented with strong organizational skills. Self motivated. Ability to multitask and prioritize in a dynamic environment. Ability to work flexible hours, to occasionally provide coverage during evening and weekend events. Demonstrate consistent attendance and punctuality.
