Job Description
Job Overview We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who enters our facility. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and efficiency Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including typing, proofreading, data entry, and maintaining office supplies inventory Coordinate with team members to ensure smooth communication flow and timely completion of administrative tasks Qualifications Proven experience in office management or administrative support roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Experience in customer service roles within medical or dental offices is a plus Basic knowledge of bookkeeping software such as QuickBooks is preferred Demonstrated computer literacy with excellent typing speed and accuracy Previous experience handling calendar management, filing systems, data entry, and proofreading Join us as a Receptionist where your positive attitude and organizational prowess will contribute significantly to our team's success.
