The ideal candidate will possess excellent communication skills, a professional demeanor, and a strong background in office management and administrative support. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and maintaining an efficient front desk environment. The successful applicant will demonstrate proficiency with multi-line phone systems, computer literacy, and office management tools, contributing to a welcoming atmosphere for clients, visitors, and staff alike. Duties Greet visitors and clients promptly and courteously, ensuring they feel welcomed and attended to. Manage multi-line phone systems with professionalism, directing calls accurately and taking detailed messages when necessary. Maintain organized filing systems, data entry records, and ensure all documentation is accurate and up-to-date. Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools. Perform clerical tasks such as proofreading documents, managing correspondence, and preparing reports. Support office management activities including inventory control of supplies, basic bookkeeping with QuickBooks, and maintaining cleanliness of the front desk area. Provide customer support by addressing inquiries efficiently and professionally while demonstrating excellent phone etiquette. Assist with administrative duties such as typing correspondence, managing emails, and supporting personal assistant tasks when required. Experience Prior experience in office administration or clerical roles with a focus on front desk responsibilities. Demonstrated proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry applications. Experience working with multi-line phone systems and providing exceptional customer service in a professional setting. Bilingual abilities are highly desirable to effectively communicate with diverse clients or patients. Knowledge of office management procedures such as filing systems, calendar coordination, and basic bookkeeping using QuickBooks or similar software. Previous experience as a medical or dental receptionist is advantageous but not mandatory; relevant healthcare reception experience is valued. Strong organizational skills with the ability to manage multiple tasks efficiently while maintaining attention to detail.
