Responsibilities Greet visitors warmly, determine their needs, and direct them appropriately to ensure a positive first impression Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using professional phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools Support office management tasks such as ordering supplies, maintaining cleanliness, and overseeing general administrative functions Assist with bookkeeping duties using QuickBooks or similar software to track expenses and invoices when needed Skills Proven experience in office management or administrative support roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional customer service skills with a friendly demeanor and professional phone etiquette Bilingual abilities are highly valued to assist diverse client needs Experience with data entry, proofreading, filing systems, and calendar management to ensure accuracy and efficiency Knowledge of medical or dental receptionist procedures is a plus but not required; relevant personal assistant experience is advantageous Ability to handle multiple responsibilities simultaneously while maintaining attention to detail This role is perfect for motivated individuals eager to contribute to a dynamic team while honing their administrative expertise.
