Job Description

Job Summary We are seeking a dynamic and highly organized Secretary Assistant to join our team! In this vital role, you will serve as the backbone of our administrative operations, ensuring smooth office functioning and exceptional customer support. Your energetic approach and attention to detail will help streamline daily tasks, manage communications, and support various office functions. Responsibilities Manage front desk duties, including greeting visitors and directing them appropriately with friendly professionalism Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent phone etiquette Perform data entry, maintain accurate filing systems, and organize documents using Microsoft Office, Google Workspace, and other office software Handle calendar management tasks such as scheduling appointments, meetings, and coordinating events with precision Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial recordkeeping Provide exceptional customer service by supporting clients, or visitors with their needs in person or via phone and email Support office management tasks including supply inventory, document proofreading, and general clerical duties to ensure operational efficiency Skills Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Familiarity with QuickBooks for bookkeeping and basic accounting tasks Excellent written and verbal communication skills; bilingual abilities are a plus for diverse environments Strong time management skills with the ability to prioritize multiple tasks effectively Experience working with architectural designing or construction is advantageous but not required Personal assistant experience or familiarity with calendar management enhances your fit for this role Demonstrated professionalism in phone etiquette and customer support interactions Ability to perform data entry accurately while maintaining attention to detail for proofreading and filing tasks Join us as a Secretary Assistant and become an essential part of our team!
