Job Description

Position Summary:
As a Front Desk Receptionist at our esteemed law firm, you will play a crucial role in ensuring the smooth functioning of our front office operations. Your responsibilities will include managing phone calls, greeting guests professionally, and handling incoming mail efficiently. You will be the first point of contact for clients, visitors, and callers, representing our firm with professionalism and courtesy.
Job Duties & Responsibilities:
Phone Call Management:
o Answer incoming calls promptly and courteously. o Identify callers and understand the purpose of their calls. o Route calls efficiently to the appropriate person or department. o Take detailed messages for missed calls and ensure timely relay to the intended recipients. o Screen calls according to established criteria, redirecting sales or irrelevant calls as necessary. •
Mail Handling:
o Retrieve incoming mail promptly and follow any special instructions or urgent deliveries. o Sort and disburse incoming mail to respective recipients or departments promptly. •
Guest Greeting:
o Greet guests warmly and professionally upon arrival. o Inquire about the nature of their visit and guide them accordingly. o Request guests to sign in, providing necessary details. o Notify concerned staff members promptly about guest arrivals and provide clear instructions. •
Professionalism and Communication:
o Maintain a professional appearance and demeanor at all times, adhering to the firm's dress code and grooming standards. o Communicate clearly and professionally with guests and colleagues, using polite language and tone. o Adhere to strict confidentiality standards regarding sensitive information. o Operate the phone system efficiently, including transferring calls, placing calls on hold, and using voicemail features. o Familiarize yourself with mail equipment and report any malfunctions promptly. • Performs other duties as assigned.
Required Qualifications:
Fluency in Spanish and English High school diploma or equivalent. Proven experience as a receptionist or in a similar role. Excellent communication and interpersonal skills. Proficiency in using office equipment and software. Ability to multitask and prioritize tasks effectively. Professional demeanor and appearance.
