About Us HeartWell Medical Group is a cardiology practice in Winter Park, FL led by Dr. Raghav Sharma. We provide comprehensive cardiology care — from preventive heart health to advanced cardiovascular diagnostics — with a focus on a personal, high-touch patient experience. Our patients trust us with their cardiac health, and our front desk is the first and last impression every patient has of the practice. The Role You are the face of HeartWell. The first voice on the phone, the first smile at the door, the last hand a patient shakes on the way out. This role is the operational heartbeat of the front office — keeping the schedule clean, the phones answered, the documents filed, and every patient feeling cared for. Insurance verification, prior auths, and billing are handled by our outsourced partner. That means your focus is patient experience and operational flow — not chasing claims. We've designed this seat to be plug-and-play: clear scope, clear processes, real ownership. What You'll Do Front Desk (Primary): Patient check-in: warm greeting, ID and insurance card capture, paperwork verification, accurate intake into the EMR Patient check-out: schedule the next appointment before they leave; print after-visit summaries; collect copays; handle any same-day questions
Phones:
answer within 3 rings; return all voicemails within 2 business hours; no patient goes unacknowledged
Scheduling:
manage the provider calendar — new appointments, reschedules, follow-ups; confirm tomorrow's schedule by end of today Document handling: scan referrals, prior records, imaging, and insurance cards into the correct patient chart — same day, no backlog
Patient Experience:
Waiting room: keep it clean, calm, and welcoming; offer water; communicate any provider delays promptly and with grace Patient communications: confirmation calls/texts the day before; follow-up calls when a patient has been a no-show; same-day call-backs on any patient question that comes through the front desk
Escalations:
recognize when something needs Dr. Sharma's eyes (anxious patient, complex scheduling, complaint) and route it cleanly
Team & Office Operations:
Coordinate with the back office and clinical MA on patient flow throughout the day Maintain a tidy reception area and clear desk at end of shift Light office admin: ordering supplies, accepting deliveries, opening/closing the office
What We're Looking For Must Have:
Patient-facing experience in a medical, dental, hospitality, or similar setting (1+ years) Warm, professional phone presence — clear, calm, and patient even with difficult callers Strong organizational skills — comfortable juggling phones, walk-ins, schedule changes, and documentation simultaneously without dropping any of them Comfort with technology — EMR / practice management software, scheduling tools, scanners, email Reliability — you show up, on time, every day, with the same steady energy; this is a small practice, absences are felt Composure under pressure — busy mornings, anxious patients, and tight schedules don't shake your professionalism
Strongly Preferred:
Prior cardiology, internal medicine, or specialty practice experience Bilingual English/Spanish Familiarity with EMR systems (eClinicalWorks, Athena, Epic, etc.) HIPAA training already completed

Compensation Base pay:
$16-$18/hour, commensurate with experience Health, vision, and dental insurance Paid time off (accrued) Paid holidays
Schedule & Logistics Hours:
Monday-Friday, 8:30 AM - 5:00 PM (one-hour lunch). No weekends. In-office — this is not a remote role. Patient-facing presence is the work.
