Position Overview:

We are seeking a reliable and professional Bilingual (Spanish) Receptionist & Administrative Assistant to serve as the first point of contact for clients while providing administrative support to our accounting and tax team. This role is essential to maintaining an organized office and delivering excellent client service. Key Responsibilities Front Desk & Client Support Answer and route incoming phone calls professionally Greet clients and visitors in person Schedule appointments and manage the firm's calendar Receive and organize client documents (physical and electronic) Send reminders, follow-ups, and basic client communications Administrative & Office Support Assist with document scanning, filing, and data entry Maintain client files and confidentiality Prepare basic correspondence, letters, and emails Support invoicing, payment tracking, and client onboarding Help organize office supplies and daily office operations Accounting Firm Support (Training Provided) Assist with intake forms for tax and bookkeeping clients Upload documents to secure client portals (Verifyle, QuickBooks, etc.) Help track deadlines (tax returns, payroll, compliance filings) Light QuickBooks or bookkeeping support (if trained) Qualifications High school diploma or equivalent (Associate degree preferred) Prior receptionist or administrative experience preferred Strong communication and customer service skills Comfortable with computers, email, and basic office software Organized, detail-oriented, and able to multitask Bilingual (English/Spanish) Work Environment & Growth Professional accounting & tax office Training provided for accounting-related tasks Opportunity to grow into bookkeeping, tax, or office manager role Learn more about us at www.henriquezaccounting.com
