In this role, you will serve as the first point of contact for clients and visitors, providing exceptional customer service while managing a variety of administrative and financial tasks. Your proactive approach and organizational skills will ensure smooth office operations, efficient communication, and accurate handling of financial transactions. Duties Greet clients, visitors, and staff with a warm, professional attitude at the front desk Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle appointment scheduling, calendar management, and coordinate meetings for team members Perform data entry, filing, and maintain organized records for financial documents and client information Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Assist with office management tasks such as supply ordering, mail distribution, and maintaining office cleanliness Provide customer support by addressing inquiries promptly and courteously, ensuring a positive experience for all visitors Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and correspondence Proofread documents for accuracy and clarity before distribution or submission Manage administrative tasks such as typing correspondence, updating databases, and supporting personal assistant duties as needed Skills Proven experience in front desk operations with excellent multi-line phone system handling skills Bilingual abilities are highly preferred to effectively communicate with diverse clients and staff Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and data entry software Exceptional customer service skills combined with professional phone etiquette Experience in office management, clerical work, bookkeeping, and administrative support roles Ability to handle confidential information discreetly with attention to detail in proofreading and recordkeeping Effective time management skills to balance multiple responsibilities seamlessly Personal assistant experience or calendar management expertise is a plus Join us to be part of a vibrant team where your proactive approach makes a meaningful difference!
