This position manages front desk operations, schedules appointments, maintains accurate medical records, and supports the veterinary team by ensuring smooth daily workflow. The ideal candidate demonstrates strong communication skills, empathy for animals and their owners, and the ability to multitask in a fast-paced clinical setting. Key Responsibilities Client Service & Communication Greet clients and patients warmly and professionally Answer multi-line phones and respond to emails in a timely manner Schedule appointments and procedures efficiently Provide accurate information regarding services, policies, and pricing Maintain a calm and compassionate demeanor, especially in emotional situations Check clients in and out, ensuring a positive experience Administrative Duties Maintain and update patient records with accuracy and confidentiality Process payments, invoices, and estimates Verify client information and maintain organized filing systems Coordinate reminders for vaccinations, wellness exams, and follow-up visits Manage daily appointment schedules to optimize workflow Clinic Support Communicate effectively with veterinarians, technicians, and assistants Assist with patient intake forms and documentation Maintain a clean and organized reception area Monitor office supplies and reorder as needed Ensure compliance with clinic policies and procedures Required Qualifications High school diploma or equivalent 1+ year of customer service or receptionist experience preferred Strong interpersonal and communication skills Ability to multitask and prioritize responsibilities Basic computer skills (Microsoft Office, email, scheduling software) Comfortable working around animals of all sizes and temperaments Preferred Qualifications Previous experience in a veterinary clinic or animal care setting Familiarity with veterinary practice management software (e.g., AVImark, Cornerstone, eVetPractice) Knowledge of medical terminology Experience handling confidential client information Key Skills Customer service excellence Compassion and empathy Attention to detail Organization and time management Team collaboration Problem-solving abilities Professional phone etiquette Work Environment Fast-paced veterinary clinic or hospital setting Exposure to animals, cleaning agents, and occasional noise May require standing for extended periods Occasional evening or weekend hours depending on clinic schedule
