This dynamic role offers an exciting opportunity to be the welcoming face of our organization, providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. Your positive attitude and organizational skills will help create a friendly and efficient atmosphere for visitors and staff alike. You are the first impression! Responsibilities Greet visitors warmly, ensuring a positive first impression while verifying visitor credentials and maintaining visitor logs Manage multi-line phone systems efficiently, directing calls accurately and professionally Handle incoming and outgoing correspondence, including emails, mail distribution, and message taking Maintain a clean, organized front desk area and manage office supplies inventory Support office management tasks such as calendar management, appointment scheduling, and data entry using Microsoft Office and Google Workspace tools Assist with clerical duties including filing, proofreading documents, and basic bookkeeping with QuickBooks or similar software Provide exceptional customer support by addressing inquiries promptly and courteously while demonstrating excellent phone etiquette Qualifications Proven experience in front desk operations or office administration with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills Strong communication skills with the ability to handle multi-line phone systems confidently; bilingual abilities are a plus Previous clerical experience involving filing, proofreading, bookkeeping, or administrative support preferred Demonstrated ability to manage time effectively in a busy environment while maintaining attention to detail Personal assistant or office management experience is advantageous but not required Ability to stand or sit for extended periods during shifts; reliable attendance on weekends is essential Join us in creating an inviting environment where professionalism meets warmth!
