Job Description

Overview We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and professional demeanor will ensure smooth daily operations while supporting various administrative tasks. Responsibilities Greet visitors, clients, and vendors with a positive attitude, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette. Maintain the front desk area, ensuring it is tidy, organized, and professional at all times. Handle data entry, filing, and document proofreading to support administrative workflows. Use office software such as Microsoft Office and Google Workspace to prepare correspondence, reports, and schedules. Assist with calendar management and appointment setting for staff or executives as needed. Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and maintaining office equipment. Experience Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Familiarity with multi-line phone systems and excellent phone etiquette skills. Bilingual abilities are highly desirable to serve diverse client needs effectively. Demonstrated organizational skills with the ability to prioritize tasks efficiently in a busy environment. Experience with data entry, filing systems, proofreading documents, and managing schedules. Knowledge of office management procedures including basic bookkeeping (QuickBooks preferred) and calendar management.
