Job Description
Position Summary The Receptionist is first point of contact of the business. S/he is responsible for providing world-class service in the forms of communication in-person, by email, and phone to all Fair Oaks Farms contacts, i.e. Customers, Employees, Applicants, etc. while complying with the established policies and procedures of the organization. Responsibilities Professionally administer all incoming calls. Ensure phone calls are redirected accordingly. Take and retrieve messages for various personnel. Provides callers with information such as company address, directions to the company location, company fax numbers, company website, employment opportunities, and other related information. Greet and direct visitors in a professional, friendly, and hospitable manner. Open and close visitor area (locking doors, closing blinds, turning off lights) Type memos, correspondence, reports, and other documents. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) Executes a variety of clerical duties. Record and relay messages to associates when they are unavailable Accurately sort and categorize incoming mail from regular mail, priority mail, packages, and their intended recipients. Process invoices received in the mail, alphabetize them, and apply any necessary stamps for accounts payable. Procure office supplies for various departments within the company. Ensure office equipment, i.e. printers, are working properly seeking technical assistance when needed Manage the inventory and replenishment of lunchroom supplies across all plants. Keep storage areas and office kitchen areas organized and well-maintained. Assist with monitoring company credit card usage, reviewing statements, and reconciling transactions to maintain accurate and up-to-date records. Review and verify provider bills and invoices for accuracy. Handle sensitive or confidential items with discretion and in accordance with established security and confidentiality protocols. Execute various administrative tasks as required. Qualifications Attention to detail Ethical Conduct Thoroughness Bilingual in English and Spanish required High school diploma or its equivalent Excellent interpersonal and communication skills Strong customer service orientation Prior experience at least 6 months Basic computer skills Self-motivated and able to work independently Reliable, responsible, and punctual Friendly, warm, personable Takes direction and responds to feedback well
