POSITION
Front Office Receptionist
JOB SUMMARY
Dubuque ENT Head & Neck Surgery is seeking a professional, organized, and patient-focused Front Office Receptionist to join our team. This role serves as the first point of contact for patients and plays a key part in creating a positive patient experience. Responsibilities include patient registration, appointment scheduling, insurance verification, and administrative coordination across multiple departments. The ideal candidate is detail-oriented, personable, adaptable, and thrives in a fast-paced healthcare environment. Key Responsibilities Patient Reception & Check-In Welcome patients and provide exceptional customer service Register new patients and update demographic information for existing patients Verify insurance eligibility and benefits prior to appointments Collect co-pays, deductibles, and outstanding balances Maintain patient confidentiality in accordance with HIPAA guidelines Scheduling & Appointment Coordination Schedule office visits and follow-up appointments accurately and efficiently Answer incoming appointment requests promptly and professionally Document patient concerns and appointment details thoroughly Coordinate provider schedules and accommodate clinic workflow needs Phone & Communication Support Answer and route incoming calls to appropriate departments Respond professionally to patient inquiries and requests Communicate effectively with patients, providers, staff, and outside offices Administrative & Clerical Support Process incoming faxes, referrals, medical record requests, and test results Prepare and manage medical record requests from physicians, hospitals, insurance companies, and other authorized entities Provide clerical and operational support to additional departments as needed Assist with other duties assigned by physicians or management Qualifications Education High school diploma or equivalent required Additional college coursework or trade school training preferred Experience & Skills Previous experience in a medical office or healthcare setting Strong computer and keyboarding skills; familiarity with Microsoft Office and Excel preferred Knowledge of insurance verification and benefit eligibility processes Excellent organizational and multitasking abilities Strong attention to detail and accuracy Professional appearance and demeanor Strong verbal and written communication skills Ability to work effectively with patients from diverse backgrounds Core Competencies Customer service mindset Team collaboration Time management Adaptability in a fast-paced environment Problem-solving and critical thinking Professionalism and confidentiality Physical Requirements Prolonged sitting and computer use Frequent use of phones, computers, copiers, and other office equipment Occasional bending, reaching, and lifting up to 30 pounds Ability to work in a busy and sometimes high-stress environment Work Environment This position is based in a collaborative medical office setting with frequent patient interaction. The role requires comfort with multitasking, interruptions, and discussing financial responsibilities with patients in a professional and respectful manner.
