Job Description

Job Summary We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure a smooth and efficient workplace environment. Your positive attitude, organizational skills, and ability to handle multiple responsibilities will help create a professional and friendly atmosphere for visitors, clients, and team members alike. Duties Greet visitors, clients, and vendors warmly and professionally, ensuring a positive first impression Answer multi-line phone systems promptly and direct calls accurately using proper phone etiquette Manage front desk operations including scheduling appointments, maintaining calendars, and coordinating meetings Handle data entry, filing, and document proofreading to ensure accuracy and organization Utilize computer skills with Microsoft Office, Google Workspace, and other office management software for daily tasks Support office management activities such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar tools Provide customer support by addressing inquiries efficiently and maintaining excellent customer service standards Qualifications Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Strong communication skills with the ability to handle multi-line phone systems and demonstrate proper phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Prior experience as a dental or medical receptionist is a plus but not required; relevant personal assistant experience is also valued Demonstrated ability to manage time effectively and prioritize tasks in a fast-paced environment Attention to detail in proofreading, data entry, filing, and calendar management is essential Join us as a Front Desk Associate to be the friendly face that keeps our office running smoothly!
