Job Description

Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to handle a variety of tasks with enthusiasm. Bilingual abilities are a plus, as is experience with office management and clerical duties. Duties Greet visitors, clients, and vendors warmly while managing front desk operations with professionalism and friendliness Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette Manage appointment scheduling and calendar coordination for staff or executives using digital tools like Google Workspace or Microsoft Office Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records Handle incoming and outgoing correspondence, including emails, mailings, and courier services Maintain office supplies inventory, place orders as needed, and ensure the workspace remains tidy and efficient Support bookkeeping tasks such as invoicing or basic QuickBooks entries to assist with financial recordkeeping Provide customer support by addressing inquiries promptly and professionally, fostering positive relationships with clients and visitors Assist with office management tasks including organizing meetings, managing office equipment, and supporting team members as a personal assistant when required Experience Prior experience in an office environment or administrative role is essential; dental or medical receptionist experience is a strong plus Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Strong organizational skills with the ability to multitask efficiently in a fast-paced setting Excellent verbal and written communication skills; bilingual abilities are highly desirable Proven customer service skills with a friendly demeanor and professional phone etiquette Clerical experience involving filing, proofreading, calendar management, and office support tasks Familiarity with office management software such as QuickBooks or bookkeeping systems is advantageous Ability to manage time effectively while prioritizing tasks to meet deadlines Join us in creating a welcoming environment where organization meets exceptional service!
