Responsibilities Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and valued. Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette. Manage appointment scheduling and calendar coordination for staff or medical/dental offices as needed. Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy. Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks. Support office operations by handling incoming correspondence, managing supplies, and maintaining cleanliness of the reception area. Assist with clerical duties including typing reports, proofreading documents, and supporting customer support efforts. Experience Previous office or administrative experience is preferred, especially in roles such as receptionist or personal assistant. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Experience with multi-line phone systems and excellent phone etiquette is essential. Bilingual abilities are highly valued to serve diverse client needs effectively. Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Familiarity with office management tools like QuickBooks or bookkeeping experience is a plus. Prior experience in healthcare settings such as medical or dental receptionist roles is advantageous but not required.
