In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support in both languages. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive experience for visitors, clients, and team members alike. Duties Greet visitors and clients warmly in both languages, ensuring they feel valued and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming and outgoing correspondence, including emails, faxes, and mail distribution Maintain organized filing systems, data entry records, and manage calendar appointments for staff or executives Support office management tasks such as ordering supplies, managing inventory, and coordinating maintenance requests Assist with clerical duties including proofreading documents, preparing reports, and updating databases like QuickBooks or Google Workspace Provide customer support by addressing inquiries accurately and courteously while maintaining a professional demeanor Skills Proven experience in front desk or office administration roles with strong organizational skills Bilingual fluency in English and another language (e.g., Spanish), with excellent verbal and written communication skills in both languages Proficiency in multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace tools Strong computer literacy with experience in data entry, filing, proofreading, and basic bookkeeping using QuickBooks or similar software Exceptional customer service skills with a friendly attitude and professional phone etiquette Ability to manage time effectively while handling multiple tasks simultaneously in a fast-paced environment Previous office management or administrative assistant experience preferred Join us to be part of a vibrant team dedicated to delivering outstanding service!
