Overview We are seeking a professional and dedicated Front Desk Receptionist to serve as the initial point of contact for our organization. This vital role requires a highly organized individual with excellent communication skills, technical proficiency, and a customer-focused attitude. The successful candidate will manage front desk operations, facilitate effective communication, and support administrative functions to ensure a welcoming and efficient environment. Responsibilities Greet visitors, clients, and staff with professionalism and courtesy, ensuring a positive first impression. Manage multi-line phone systems efficiently, directing calls and providing accurate information to callers. Maintain organized filing systems, data entry records, and spreadsheets using Microsoft Office and Google Workspace productivity software. Handle appointment scheduling and calendar management for staff or specific departments, ensuring timely coordination. Provide exceptional customer service by addressing inquiries promptly and professionally across various communication channels. Support office management tasks such as ordering supplies, maintaining cleanliness, and managing office equipment. Assist with clerical duties including proofreading documents, word processing, and basic bookkeeping using QuickBooks or similar software. Facilitate effective client communication and support administrative operations through strong organizational skills and attention to detail. Experience Prior office experience with familiarity in front desk or administrative roles is required. Demonstrated proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry. Experience working with multi-line phone systems, phone etiquette, and customer support is essential. Bilingual abilities are highly desirable to enhance client communication across diverse populations. Knowledge of office management procedures, clerical tasks, filing systems, and time management practices is necessary. Previous experience in medical or dental receptionists roles or as a personal assistant is advantageous. Technical proficiency in bookkeeping (QuickBooks) and calendar management tools will support operational efficiency.
