Job Description

Job Overview We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing excellent customer service and ensuring smooth office operations. This role requires a friendly demeanor, strong organizational skills, and proficiency with office management tools. The Receptionist will handle a variety of administrative tasks, support office functions, and assist with client interactions. Duties Greet visitors and clients warmly, directing them appropriately Manage multi-line phone systems, screen calls, and take messages accurately Maintain organized filing systems, both physical and digital, including data entry and document proofreading Handle incoming and outgoing correspondence via email and postal mail Utilize Microsoft Office Suite for various administrative tasks Support bookkeeping activities as needed, including basic invoicing and record keeping Support order entry activities as needed in job tracking system Contact customers for deposit payments and final payments Assist with office supply inventory management and procurement Provide customer support by addressing inquiries professionally and efficiently Perform clerical duties such as photocopying, scanning, and maintaining records Ensure the reception area is tidy and welcoming at all times Other administrative tasks, as needed Skills Strong computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry skills Experience with front desk operations and multi-line phone systems Excellent organizational skills with the ability to prioritize tasks effectively Exceptional phone etiquette and customer service skills Bilingual abilities are a plus to assist diverse client needs Attention to detail for proofreading documents and maintaining accurate records Ability to handle multiple responsibilities efficiently in a fast-paced environment Knowledge of bookkeeping or QuickBooks is beneficial but not mandatory This position offers an opportunity to be an integral part of our professional team while developing valuable administrative skills in a supportive environment.
