7/1/2025 Objective As the first point of contact for the District Administrative Office (Education Center), the Office Professional plays a critical role in shaping the experience of families, staff, and community members. This person provides a welcoming atmosphere for all visitors and callers as well as essential secretarial support. This position requires a high degree of initiative, confidentiality, and independent judgment. This role is vital to the smooth functioning of our administrative hub and requires an individual who can balance routine tasks with the need for discretion and self-directed problem-solving. Success in this role depends on the ability to communicate effectively with parents, visitors and staff. Essential Duties and Responsibilities Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Carries out such additional duties as required or as conditions necessitate. Participates in job training and professional growth opportunities in order to enhance ability to perform the essential functions of the job. Interacts with colleagues, visitors, parents, students and all individuals in a professional manner that supports an environment of respect and collaboration.
Performs typical clerical duties:
Maintain positive, professional relationships with a wide range of community members Monitor and allow entry to the Education Center Answer multi-line phone calls for the front desk and transfer calls as needed Use a background check program to screen visitors and provide badges for those entering the building. Collect payments from parents, provide receipts, and secure payments for student fees office professional Collect district owned items/issue receipts for items (chromebooks, chargers, calculators, library books) and arrange pick up of items from proper department Assist all departments within the Education Center by directing calls, people, and documents to their respective areas. Uses badge printing machine to create and distribute district ID badges for all staff including substitutes, volunteers, student teachers and contractors. Assist the Human Resources department with mailings, board reports, closing HR files, answering emails and voicemails. Place orders for copy machine and badge machine supplies Maintain multiple conference room reservations/calendars for meetings at the Education Center Provides backup and assists other building Office Professionals/Assistants as may be required for the purpose of supporting an efficient office environment Cover front desk Office Professional during lunch break and/or absences per schedule shared with other building office professionals. Schedule appointments for registration office professionals Qualifications, Education and Experience High School diploma (or equivalent) required. Office experience preferred Bilingual (Spanish) Required Ability to utilize current technology proficiently with a familiarity of word processing, spreadsheets, database system and/or electronic calendar Knowledge, Skills and Abilities Demonstrates excellent communication skills professionally, in person, by phone, and written, with diverse stakeholders, in a manner that reflects positively on the district Ability to tolerate ambiguity, multi-task, balance priorities and see tasks and projects through to high quality completion Ability to work well under pressure in a fast paced environment Ability to maintain confidentiality of all spoken or written information with integrity and discretion. Travel Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
