Job Summary:
The responsibilities of this position include receptionist duties such as answering the phone, greeting customers, assisting students and faculty with basic questions, scheduling advising appointments, and other general administrative office duties. The position is also responsible for opening and closing the office on designated days. This position will serve as the primary point of contact for visitors and callers to the SPS Evanston office and Summer Session during office hours.

Part-time position
  • total of 19 hours per week, spread across 3 days per week. (May be asked to work additional day-time hours during peak periods (leading up to start of programs.) Target hiring range for this position will be between $17.00
  • $18.
00 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
Specific Responsibilities:
Manage phone and foot traffic at SCS Evanston Office Opens and closes SPS Evanston office Monday through Friday, as designated Greets visitors to SPS office Answers incoming calls to SPS main line Answers basic program and logistical questions Directs caller/person to relevant resource when required Resolves customer issues, or escalates when necessary Maintains voice and email boxes for the SPS Front Desk and Summer Session programs Provides clerical support to all SPS departments. Assists with preparation of all materials for Summer Session. Provides support to SPS Graduate Programs, specifically by assisting with mail, data entry, and other clerical items. Serves as Section 2 processor for E-Verify for the SPS Evanston office Proctors exams Maintains inventory and orders supplies Coordinates travel utilizing Egencia and other University partners. Maintains schedule for class/conference rooms, scheduling A/V equipment when necessary Distributes office mail; arranges for messenger delivery and maintains messenger record log. Orders and keeps inventory of office/kitchen supplies Marketing Answers basic questions from prospective students and routes them to appropriate SPS program. Cross-sells SPS programs Maintain inventory of marketing items Logs and updates spreadsheet of marketing inventory Coordinates with SPS Chicago office for delivery and restocking of items Schedule Advising Appointments Schedules advising appointments for current and prospective students Miscellaneous Performs other duties as assigned.
Minimum Qualifications:
High school diploma Experience as a receptionist or customer service rep.

Associate's degree Experience in academic setting, working with students and faculty.
