9:00 a.m.-12:00 p.m. Occasional evenings, Saturdays, and Sundays may be required for parish events or special circumstances. Position Summary The Parish Front Desk Coordinator serves as a welcoming and professional first point of contact for parishioners, visitors, families, volunteers, and guests of the parish. This position provides general administrative and front-office support while helping connect people with the appropriate parish staff, ministry, or resource.

The ideal candidate is fluent in both English and Spanish , comfortable working with people from a variety of backgrounds, organized, dependable, and able to work independently after appropriate training. The successful candidate will demonstrate good judgment, maintain confidentiality, communicate professionally, and approach parishioners and visitors with warmth and hospitality.

Because this position represents the parish on a daily basis, the Front Desk Coordinator should have a basic understanding of Catholic faith, terminology, sacraments, parish life, and the structure of the Catholic Church. Essential Responsibilities Front Desk & Hospitality Welcome parishioners, visitors, volunteers, clergy, and guests in a friendly and professional manner. Answer and direct incoming phone calls and respond to general inquiries. Assist parishioners and visitors in English and Spanish. Determine when questions can be answered at the front desk and when they should be referred to the appropriate staff member, clergy member, or ministry. Maintain a welcoming, organized, and professional reception area. Assist visitors with locating parish offices, meeting spaces, Mass and sacramental information, and other parish resources. Administrative Support Provide general administrative assistance to parish staff and ministries as assigned. Prepare, edit, print, scan, copy, file, and organize documents. Assist with mail, deliveries, postage, and other routine office functions. Operate and learn to use professional office equipment, including copiers, printers, scanners, postage/mail equipment, and telephone systems. Assist with calendars, correspondence, forms, spreadsheets, presentations, and other administrative projects. Enter and maintain information accurately in parish systems and databases as assigned. Assist with parish communications and special projects as needed. Information & Parish Resources Navigate the parish website, Diocese of Rockford website, and other reliable Catholic resources to locate information. Develop familiarity with parish policies, procedures, ministries, programs, Mass schedules, sacramental processes, and diocesan resources. Provide accurate information whenever possible and seek assistance when an answer is unknown rather than providing incorrect information. Maintain awareness of parish activities and events in order to appropriately assist parishioners and visitors. Teamwork & Initiative Work cooperatively with parish staff, clergy, volunteers, and ministry leaders. Become increasingly independent and self-directed after training. Take initiative in completing routine responsibilities and identifying tasks that need attention. Ask appropriate questions and seek clarification when needed. Recognize when an issue requires the attention or decision of another staff member. Assist with parish events and projects as assigned, including occasional evening, Saturday, or Sunday responsibilities. Confidentiality & Professionalism Maintain confidentiality regarding parishioner information, sacramental records, financial matters, pastoral situations, and other sensitive information. Exercise good judgment when handling questions, requests, and potentially sensitive situations. Maintain appropriate professional boundaries with parishioners, volunteers, and staff. Represent the parish in a manner consistent with Catholic values and the mission of the parish and Diocese of Rockford.
Qualifications & Skills Required:
Strong preference for English and Spanish Fluency Strong interpersonal and customer-service skills. Friendly, welcoming, and professional demeanor. Ability to communicate effectively with people of different ages, backgrounds, and levels of familiarity with the Catholic Church. Proficiency with Microsoft Office, including Word, Excel, and PowerPoint . Comfort using computers, email, internet search tools, and web-based systems. Ability to learn new software, parish systems, and office equipment. Strong organizational skills and attention to detail. Ability to manage multiple tasks and priorities. Dependable attendance and punctuality. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently once trained while remaining an effective member of a team. Basic familiarity with Catholic faith, terminology, sacraments, and parish life.
Preferred:
Previous administrative, receptionist, customer service, or parish office experience. Previous experience working in a Catholic parish, school, nonprofit, or other faith-based organization. Familiarity with the structure and ministries of the Catholic Church. Experience working with bilingual or multicultural communities. Ideal Candidate The ideal candidate is someone who genuinely enjoys helping people and understands that a parish front office is more than an administrative workspace—it is often the first place a person encounters the parish.

We are looking for someone who is warm but professional, organized but flexible, confident but willing to ask questions, and independent while being committed to teamwork. The successful candidate does not need to know everything on the first day. We value someone who is willing to learn, seek accurate information, and grow into the role. Physical & Work Environment This position is primarily performed in a parish office and reception environment. The employee should be comfortable sitting and standing throughout the workday, using a computer and telephone, operating standard office equipment, and occasionally assisting with parish events or moving light office materials. Catholic & Diocesan Environment This position serves within a Catholic parish of the Diocese of Rockford . Employees are expected to support the mission and values of the Catholic Church and to conduct themselves professionally and respectfully when interacting with parishioners, visitors, clergy, staff, and volunteers. Employment is subject to applicable parish and Diocese of Rockford policies, including applicable Safe Environment requirements.
Pay:
$15.45 - $17.00 per hour Expected hours: 19.0 per week
