Job Overview We are seeking an energetic and detail-oriented Temporary Receptionist to join our dynamic team for the next 3 - 4 weeks. In this pivotal role, you will be the first point of contact for visitors, clients, and staff, ensuring a welcoming and professional environment. Your proactive approach and excellent organizational skills will help keep our office running smoothly. This temporary position offers an exciting opportunity to showcase your office management expertise while supporting daily administrative functions with enthusiasm and precision. Responsibilities Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression Manage multi-line phone systems efficiently, directing calls to the appropriate departments or personnel with professionalism and courtesy Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness Maintain organized filing systems, both physical and digital, ensuring easy access to important documents Support calendar management by scheduling appointments, meetings, and conference rooms using Google Workspace or Microsoft Office tools Assist with data entry tasks such as updating records or other office software while maintaining high accuracy standards Perform clerical duties including proofreading documents, managing office supplies inventory, and supporting bookkeeping activities Requirements Proven experience in front desk operations or office management roles with a focus on customer service and administrative support Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software Excellent phone etiquette skills with experience managing multi-line phone systems in a professional setting Bilingual abilities are highly preferred to effectively communicate with diverse clients and visitors Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Previous clerical experience involving filing, proofreading, calendar management, and basic bookkeeping (e.g., QuickBooks) is desirable Exceptional time management skills coupled with the ability to handle multiple responsibilities simultaneously Personal assistant experience or familiarity with office support functions such as typing, proofreading, and customer support will be advantageous This paid temporary role is perfect for someone eager to bring energy, professionalism, and exceptional organizational skills to a vibrant office environment.
