Duties Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring they feel welcomed and valued Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette Maintain organized filing systems, perform data entry, and ensure all records are up-to-date and easily accessible Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office Handle incoming correspondence, proofread documents for accuracy, and perform clerical tasks such as photocopying and scanning Support office management activities including supply inventory, basic bookkeeping using QuickBooks, and maintaining office equipment Provide customer support by addressing inquiries efficiently and assisting with general administrative needs Qualifications Proven experience in office management or administrative support roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are highly preferred to serve diverse client needs effectively Previous experience as a dental or medical receptionist is advantageous but not required Personal assistant or office clerk experience that demonstrates reliability and attention to detail Knowledge of bookkeeping software such as QuickBooks is a plus Ability to type accurately at a good speed while proofreading documents for errors Demonstrated time management skills to handle multiple responsibilities efficiently Join us in creating a welcoming environment where professionalism meets warmth!
