Job Description

  • open all providers offices
  • place daily schedule on provider's desk
  • turn on sound machines
  • unlock kitchen
  • check voicemail and emails
  • sort overnight faxes
  • turn on phones at 9am Closing Duties
  • Lock up file cabinets
  • lock kitchen
  • make sure all lights are of and doors are closed
  • turn off sound machines
  • turn over phones
  • empty shred bin
  • refill paper in both printer and fax machine
  • make sure all charts are put away
  • make sure the sign in sheet is dated and ready for the next day General Duties
  • check patients in and out
  • answer phones
  • schedule and reschedule appointment
  • send faxes
  • make copies of all MAMH forms
  • pull and put-up charts
  • make new file folders
  • send records and releases of records we are requesting, and records requested from us
  • call back referrals
  • take detailed messages
  • check the providers schedules throughout the week and fill in any gaps
  • send records to MAPACS for patients we referred Make sure to answer the phone by the second ring every time it rings.
Greet each caller in a calm, pleasant tone. Listen to the needs of the potential new patient without getting too involved in the details of why they need to be seen. Make sure you are getting all the information when taking a new referral. We need the correct information to verify insurance and to bill out claims. Make sure every patient that signed in is checked in. If you call for a patient and there is not reply, get up and check both waiting rooms. In case the patient stepped outside or went to the restroom. Check for the patient again after 5 minutes. When taking a phone message please provide the name of the patient/pharmacy, phone number, name of the provider seen, the reason for the call and the medication if possible. Please remember that if you know the M.A. is with a patient or on another call, do not place the new call on hold. Take a message. If the M.A. takes to long to get the call pick up line, apologies for the wait and take a message. Please understand that the front desk staff here is to make the office run smoothly. Some things may come up outside of this description. Providers may ask you for specific task that are outside of these duties. These tasks can include printing inspects, calling labs to have results faxed over, sending express scripts etc. Please be a team player and help where you can.
